Real-Time Battery Lifecycle Visibility at a Global Scale

When battery data lives in inconsistent regional spreadsheets, multi-million dollar replacement decisions rest on guesswork. Here’s how MCIM turned scattered data into a live executive dashboard.

Overview

A global data center operator with a large, geographically distributed portfolio was preparing for a significant initiative: aligning battery asset lifecycle reporting for over 13,000 UPS battery strings across every region to support executive-level capital planning. The data existed, but it was inconsistent and living in fragmented spreadsheets. Leadership needed to know where every battery asset stood, along with replacement costs and timelines.

The Challenge: No Foundation for Capital Planning

Battery replacements represent a significant and recurring capital investment for large data center operators. Planning for them effectively requires clean, consistent asset data, including when batteries were installed, how long they’re expected to last, how much replacement will cost, and how many units are affected at each site.

For this operator, battery asset records were maintained in different formats, reviewed in spreadsheets, and populated to different standards, with key attributes routinely missing or misaligned: 

  • Install dates were incomplete
  • Cost-to-replace figures were inconsistent
  • Battery counts varied by how each region had chosen to record them
  • Asset class, manufacturer, and model data had significant gaps throughout

Without a consistent dataset, the organization couldn’t produce accurate projections of when assets would reach end of useful life across the portfolio. Capital planning conversations at the executive level were being driven by incomplete inputs, and the risk of assets reaching end of useful life without a replacement plan in place, and the incidents that could follow, was difficult to assess or prevent.

Leadership recognized the problem and initiated a push to standardize the process and build executive-level reporting that could provide genuine visibility into upcoming capital requirements. The challenge was that getting there required addressing the data quality problem underneath it.

The Solution: Standardized Data, Surfaced Through an Executive Dashboard

MCIM worked with the customer to collect portfolio-wide battery asset data and align it to a standardized data structure. The process involved identifying and filling significant gaps among the key attributes that capital planning depends on: install dates, replacement costs, battery counts, and asset class, manufacturer, and model information.

Once the data had been cleaned and standardized, it was brought into MCIM’s platform as a reliable, live dataset, replacing the regional spreadsheets that had previously served as the basis for reporting. A dynamic executive dashboard was then built on top of that foundation, converting standardized asset data into real-time operational intelligence that leadership could segment and act on immediately.

The Impact: A Single Source of Truth for Global Capital Planning

From the moment the dashboard went live, leadership had a single, trusted view of battery assets spanning their entire global portfolio. Data that had previously been segmented by region and living in separate spreadsheets was suddenly visible in one place.

Two capabilities in particular changed what was possible at the executive level. The first was replacement cost alignment: by standardizing cost-to-replace figures against regional currency conversion rates, the dashboard gave leadership a consistent, accurate view of total replacement cost across the portfolio, something that had never been possible when cost data was maintained in different formats across different regions.

The second was the Replacement Schedule Heatmap, which converted standardized install dates and expected asset lifecycles into a forward-looking view of when batteries across the portfolio would reach end of useful life, how many units would be affected, and what the associated replacement cost would be at each point in time. For the first time, leadership could look ahead and see exactly what was coming and when, and at what scale and what cost. 

Together, these two capabilities transformed capital planning from a manual reconciliation exercise into a dynamic, real-time process. The scattered regional data that once made global capital planning reactive is now a live, unified foundation the entire organization can plan forward from with confidence.
